Please review these terms carefully and reach out with any questions before finalizing your booking.
1. Reservations & Payments
- Booking Deposit: To secure your reservation, an initial deposit is required at the time of booking.
- NOTE: For reservations booked for the following calendar year, deposit payments are due by January 31st of that stay year. Deposits are a minimum of 1 night of your base cabin(s) rate.
- Final Payment: The remaining balance for your stay must be paid in full when you check out at the end of your stay.
- Credit Card on File: Payments accepted are Cash, check or Credit card. However, a credit card must be on file.
2. Cancellation Policy
To help us prepare for your arrival and ensure every guest gets their preferred dates, we hold your chosen cabin exclusively for you the moment your booking is confirmed. Because we commit this space entirely to your stay and turn away all other inquiries, we enforce the following cancellation terms. All reservations will be considered if we are unable to re-rent the cabin for the entirety of your booking.
- Cancellations fewer than 7 days (including no-shows) before your scheduled arrival will result in a loss of your deposit and billed for the reserved dates at our base rate.
- Cancellations made 8 to 30 days prior to check-in may result in a loss of your deposit and/or up to a charge equal to 50% of your total stay.
- Cancellations over 30 days prior to check-in will hold your deposit for a future stay up to a year.
- Early Departures: In the event of an early departure, the total for the entire reservation will still be charged. No refunds or credits will be issued for unused nights.
3. Check-In Procedures
- Standard Check-In: Begins at 3:00 PM. If you would like to start your vacation a little sooner, we offer early check-in (subject to availability) for a $50 fee. Please let us know in advance so we can put the finishing touches on your cabin and have it sparkling clean for your early arrival.
- Arrival Protocol: All guests must register at the front office upon arrival to complete check-in.
- Late Arrivals: If you plan to arrive after 9:00 PM, please coordinate with us beforehand. We will leave the lights on for you and officially check you in the following morning.
4. Check-Out Procedures
- Standard Check-Out: 10:00 AM. The remaining balance must be settled at the front office by 8:00 PM the evening before your departure.
- Late Departures:
- Off-Peak Season: We can often accommodate a late check-out up to 12:00 PM (noon). Please request this at the office the day before you leave.
- Summer Season: Due to back-to-back guest arrivals, we must strictly enforce our 10:00 AM departure.
- Before checking out, please complete the following:
- Wash and put away all dishes.
- Give the floors a quick sweep.
- Bag all trash and place it in the bins. Do not leave anything in the refrigerator.
- Important: Leaving the property with excessive mess/damage, will result in an automatic minimum $75 additional cleaning fee charged to your card on file.
5. Smoking Policy
All of our indoor accommodations are strictly smoke-free. We kindly ask that you only smoke outdoors. Ashtrays are available, and we request you clean up the garbage prior to your leave. This includes vaping/e-cigarettes.
- If evidence of smoking (including smoke odor, residual haze, ash, or burn marks) is detected inside any accommodation following your stay, an automatic $250 Smoke Remediation Fee will be charged to the credit card on file to cover deep cleaning, air scrubbing, and upholstery treatment. By booking a reservation, you explicitly authorize Pinders Resort to charge this fee if this policy is violated.
6. Minimum Stay Requirements
In June and August, the minimum stay is three (3) nights.
In July the minimum stay is four (4) nights.
The remaining months of the year minimum is (2) nights.
Short Stays are subject to management approval and a minimum fee of $50.
7. Pet Policy
We love hosting well-behaved, non-aggressive dogs. To keep our resort safe, clean, and comfortable for all of our guests, we kindly ask that all pet owners strictly follow our pet guidelines during their stay.
- Leash & Supervision: Dogs must remain on a leash at all times while on resort grounds and docks.
- In-Cabin Rules: Please keep pets off all furniture. To ensure a clean environment for every visitor, our furniture is strictly off-limits to pets. Please bring your pet's own designated bed, crate, or mat for them to sleep on. If you leave your pet unattended in the cabin, they must be securely crated.
- Clean-Up: Owners are entirely responsible for cleaning up after their pets. While our nightly fee covers standard turnover, removing pet hair, soil, or damage from linens and upholstery will result in additional charges. Any property damage, excessive cleaning required due to pet accidents or shedding, will be documented and billed.
- No "Cover-Ups": Please note that laying personal blankets, sheets, or towels over resort furniture does not permit pets to sit or lie on them, and does not protect against liability.
- Pet Hold Harmless & Financial Responsibility: By bringing a pet onto the property, the primary guest assumes full legal and financial liability for any damage, bodily injury, or property damage caused by their pet to resort facilities, staff, other guests, or third parties. The guest agrees to indemnify, defend, and hold harmless Pinders Resort, its owners, employees, and agents from any and all claims, liabilities, costs, medical expenses, or attorney fees arising out of or related to their pet's presence or actions on the premises.
8. Damages & Liability
Guests are expected to leave their cabins, as well as any rented boats or amenities, in the same clean and undamaged condition in which they were found.
- The primary guest holding the reservation assumes full financial responsibility for any damages caused by anyone in their party.
- If you accidentally break something during your stay, please notify the office immediately so we can address it.
- Following your departure, our staff will inspect the property. Any unusual or unreported damage discovered will be documented, and an itemized invoice will be sent to you before your credit card on file is charged.
9. Boat Dock Utility Use: ELECTROCUTION HAZARD
- ONLY use grounded, three-prong extension cords rated for outdoor use.
- Two-prong cords are STRICTLY PROHIBITED. Non-compliant cords will be disconnected immediately by resort staff for guest safety.
10. Pool and Dock Use
- NO LIFEGUARD ON DUTY: There is no lifeguard on duty at the pool, dock or swim areas. Guests swim and recreate entirely at their own risk.
- Child Supervision: Children under 12 years of age must be accompanied and directly supervised by an adult at all times while at the pool, and on or around the dock.
- Life Vests: Arkansas law requires all children 12 and under to wear a life jacket at all times when on the water.
11. Boat & Trailer Parking: To keep our grounds open, accessible, and easy for everyone to navigate, as well as to allow us to maintain the property, we ask that all boat and utility trailers be parked in our designated trailer area. This is located on the west end of the peninsula, right at the bend in the road as you head down toward the dock. If that lot happens to be full, please drop by the office and we’ll be happy to direct you to an overflow parking spot!
- Keep Lanes Clear: Main driveways or thoroughfares must remain open at all times. Please do not leave vehicles or trailers blocking roadways.
